How does it all work?

We set up your system for you! Yes, that’s right, we are not just going to sell you a system and let you struggle to get it going. Your system will be set up with all your staff and sites when we hand it over to you. We will assign you an account manager who will guide you through the system and show you how it all works. You can contact your account manager anytime you need to with your queries, big or small. We believe in building up a personal relationship with you.

What do my staff have to do?

Well let’s say you have a contract to clean the Widget Company Monday-Friday 18:00-20:00 and Fred Smith is your assigned cleaner for this site. Fred will arrive at the client’s site, pick up a telephone and dial your Freephone number. He will be prompted to enter his employee number, which is then verified instantly against your database to ensure it’s a valid employee number. Once a correct employee number is entered, he will then be prompted to enter the site reference number you have provided him for that site. That’s it! It takes about 5 seconds once Fred has got the routine. On leaving he simply does the same to clock out. The TimeBureau system automatically stores a date/time stamp and the phone number called from, along with the code numbers keyed in.

When a new site is set up, you can enter the phone number of the site that you are expecting the calls to be made from. If this is done, then this stored phone number can be compared with the phone number called from (CLI), so that calls from another number can be ignored (thus preventing clocking from another location), though the call is still logged for audit purposes. By default, mobile numbers are not permitted to be used for clocking, but if you have a reason that you need this to be allowed, it can be configured accordingly on either for all sites or on a site-by-site basis.

Alternatively, if you have any client sites where no landline is available for your staff to call from, for staff that have an Apple or Android smart phone, an App is available (at no extra charge) which will record and report their location at the time they clock in and out. If they wish, after the first time they have visited a site, they can tell the system to automatically report when they arrive at and leave that site in future. Alternatively, it they wish to maintain their privacy, they can (with one click) configure the App so that geo-location is turned on just long enough to report their current location and then turned off again.

What happens if any of my staff don’t arrive on site when they should

Well, we have all had those calls from our clients when something doesn’t go according to plan – that’s why you can set a grace period for each site, so that if any/some of your staff do not arrive by (say) 10 minutes after they should have, you will receive an alert straight to your inbox – you could be in the office or sitting at the park, but you will know before your client does and then have the opportunity either to call that person (if you have recorded his/her mobile number, it will be included in the alert email) or to arrange cover. Also if we have alerted you of a “no-show” and then that person arrives, we will immediately inform you that they have now turned up.

In some cases, you may not need to know of every person who doesn’t turn up – you may only need to know when not enough people arrive. In this case, you just specify the minimum number that you require to be at each particular site.

If receiving an email would not always be suitable, there are two alternatives available, which you can specify to be used only at certain times of day if you wish (e.g. at night):

  • receive an SMS on your mobile phone with the key details, or
  • receive a voice message on your land-line or mobile phone.

If ensuring that you have staff on site is absolutely essential, then getting a voice message may be the surest way of contacting you, even if you are asleep!

Lone working

A lot of companies don’t think about this but you are potentially putting staff in a lone worker situation, so we have built into our alerting system a handy tool: if a person does not clock out by a predefined delay that you set, then we will send you an alert with his/her and the site’s contact phone numbers, so you can make sure everything is OK.

From Clocking to Payroll

Well come payroll time, it’s just a click of a couple of buttons and out pops your hours for each employee, with optional maximum hours per day, which can be set separately for each site. What about client billing … do you bill by actual time spent on site, perhaps with a minimum or maximum number of hours each day? Again, just a few clicks and out pops the info you need.
